Privacy policy

Draft for review by your attorney before launch. Last updated November 1, 2026.

What we collect

The books and records you put in Leah Books: customers, vendors, invoices, bills, bank and card transactions, payroll, receipts and documents. Account details for you and your team (name, email, sign-in information). For payroll and 1099s, information about your employees and contractors, including Social Security or taxpayer ID numbers, bank account numbers for direct deposit and, if you ask contractors for it, photos of the front and back of a government ID. Basic technical records such as sign-in times and the IP address used for sensitive actions.

How we use it

Only to provide Leah Books and Leah Bookkeeping's services to you: keeping your books, running payroll, preparing forms, sending the emails and documents you ask us to send, and giving support. We don't sell your data or your customers', employees' or contractors' data, and we don't use it for advertising.

Companies that process data for us

  • Supabase (database, file storage and sign-in) and Vercel (hosting), in the United States.
  • Stripe for card and bank payments; we never see full card numbers.
  • Plaid, only if you connect a bank or card account, to bring in transactions and balances.
  • Google Workspace to send email.
  • Anthropic (Claude) when you use AI features, such as reading a receipt or drafting a help-desk reply. Only the text or image needed for that task is sent.

Sensitive information

Full Social Security numbers, taxpayer IDs, direct-deposit bank numbers and contractor ID photos are encrypted on our servers (AES-256). Your books keep only the last four digits. Showing a full number requires a team member's accountant PIN, and every view is logged. Bank account numbers saved for printing checks are encrypted with a password set by your team, which we don't have.

Who can see your information

People you invite to your books, limited by the role you give them. Leah Bookkeeping staff can open your books to provide bookkeeping services and support; those visits and changes are recorded in your audit trail.

How long we keep it

While your account is open. Earlier versions of your books are kept for up to 90 days so mistakes can be undone. Contractor ID photos stay until you delete them or close your account. When you close your account and ask us to delete your data, we delete it except records we must keep by law.

Security

Data is encrypted in transit and at rest. Owners can require two-step sign-in for their team. Sensitive actions are logged. If we learn of a breach affecting your information, we will tell you without unreasonable delay and as the law requires.

Your choices

To get a copy of your data or have it deleted, email mercedes@completelynotary.com. If you're an employee, contractor or customer of a business that uses Leah Books, contact that business first; we'll help them with your request.

Leah Books isn't meant for children under 13. If we change this policy, we'll update the date above and tell account owners about important changes.
